Accounts Payable Staff Accountant

Job Summary:

Responsible for all A/P entries into financial software. Responsible for printing and processing all checks based on purchase orders and check requests from multiple bank accounts. Responsible for resolution of all A/P problems. Responsible for monthly reconciliations of multiple liability accounts including annual audit support. Must provide accounting support required to maximize department operations.

Job Description:

  • Responsible for the integration link between Quickbooks and Tradogram purchasing software.
  • Review of Tradogram data entry for proper supporting documentation, appropriate approval chains, invoicing information, and account allocations.
  • Updating of Tradogram information for check payment information, maintaining of supplier information and general ledger maintenance.
  • Daily entry of A/P Invoices into Quickbooks.
  • Print and process checks for approved invoices from multiple bank accounts as appropriate.
  • Reconcile month end A/P aging report to General Ledger accounts payable balance and analysis of other G/L liability accounts.
  • Research and resolve vendor statements arising from invoice processing.
  • Reconcile AFLAC and insurance liability accounts and AFLAC checking account monthly.
  • Prepare 1099 reports at year end and prepare A/P database for new fiscal year; prepare prior year vendor files for storage and prepare new files for new fiscal year.
  • Assist with internal petty cash disbursements.
  • Maintain internal bank cash levels; order cash shipments; reconcile cash disbursements from the operating account bank balance on a periodic basis.
  • Maintain files and records of all licenses and permits.
  • Assist with grant documentation.
  • Assist with annual audit preparation.
  • Perform other duties as deemed necessary to maintain accurate accounting records for the Museum.


A four-year degree in accounting or related field is required.
At least two years working experience in accounts payable.


Familiar with Quickbooks financial software, Tradogram and Quickbooks/Tradogram integration. Ten key by touch a plus.
Experience with the Microsoft suite of products including Outlook, Excel, Word and Power Point. Good organizational skills. Good communication skills both verbal and written.

Café Attendant

Position Summary
As a part of the Fernbank Museum’s Café Team, this position is a key element in ensuring a quality guest experience. This position will alternate between front and back of house. Starting pay is $11.00 an hour plus tips.

Education Facilitator

Education Facilitators monitor and interpret exhibits for guests, including opening and closing exhibits, periodic cleaning and resetting of components, and providing guests with educational interpretation of the exhibit content. Facilitators create a welcoming and safe environment for all guests to enjoy. Occasionally, Facilitators will lead basic science demonstrations during special events like Fernbank After Dark adult science nights, family Discover Days, and Museum Chills and Thrills evening events.

This job requires weekend and evening availability. As a summer position, applicant must be regularly available the entirety of June and July. There is a possibility of this role becoming regular part-time or on-call (events only) after the summer based on the needs of the museum and performance.

This job may also require some outdoor work on occasion.


  • Monitor Fernbank’s indoor and sometimes outdoor exhibit spaces, assisting with opening, closing, and periodic component resets and cleaning

Event and Beverage Manager

Job Summary:
Coordinate all aspects and duties related to beverage services and on-site event management of Fernbank After Dark event and other internal events.

Major Functions:

  • Manage all aspects of special event beverage operations, including, but not limited to ordering, inventory, budgeting, and the reporting of beverage consumption and costs for each event.

Guest Operations Associate

Position Summary:

The Guest Operations Associate is responsible for providing multi department support in all/ various guest facing functions including: scanning tickets, processing sales transactions, seating the Giant Screen Theater movies, greeting arriving guests, directing the flow of crowds, and leading guest birthday parties.   This position will focus on elevating the guest experience.

Museum Store Sales Associate

Job Summary:
Responsible for the timely processing of all sales in an efficient and friendly manner. Contributes to the efficiency of daily operations and the creation of the proper atmosphere for a successful and profitable store.

Network Administrator

Job Summary:

Responsible for installation, configuration, and administration of network servers and associated operating systems and server applications. Set up of new desktop workstations as well as upgrades to existing workstations including operating system configuration and application installation. Manage and support networking equipment including switches, routers and firewall appliances. Install and upgrade various line of business software applications at the server and workstation level. Assists users with troubleshooting and problem resolution.

Major Functions:

Server Support:

  • Configures and maintains servers running Microsoft Windows network operating system. Administers and supports a cloud based Microsoft Office 365 environment. Administers and supports SQL based database servers. Also responsible for other Microsoft Windows based applications. Tests and installs new software and upgrades as new releases are available, while ensuring minimal down time.
  • Ensures that server backups are performed, tested and verified to ensure the recoverability of data. Configures and updates backup jobs to accurately backup data as server configurations and software updates are made to the environment. Perform restores of system or user data as required.
  • Add, modify and delete users as changes in employment status dictate.
  • Maintain server directory structure for secure and shared directories. Assign appropriate security and access to directories, files or other resources.
  • Proactively monitor server performance making sure that all resources are performing at peak levels. Make hardware and software configuration modifications as network loads demand.

Network Support:

  • Monitors wireless network infrastructure escalating problems to proper support vendor.
  • Administers and configures the TCP/IP communications protocol.
  • Supports and configures firewall, routers and switches.
  • Monitors network and circuit performance making sure that available network bandwidth is utilized efficiently. Make changes to network configuration to meet the demand of each network node.

User Support:

Program Manager

Job Summary
The Program Manager will oversee Fernbank Museum’s educational programs, including school and afterschool programs – both onsite and offsite, public programs such as free daily drop-in programs, special event programs, paid programming, and camps.  This position works closely with the Volunteer Manager and Director of Education to achieve the programming needs of the museum.

Major Job Functions

  • Manage the development, implementation, and evaluation of programs covering a range of science and natural history themes offered in a variety of formats for small and large groups
  • Administer grant-funded and partner-based programs for school groups, afterschool groups, and youth development groups

Temporary Security Officer

Job Duties

  • Monitor Patron behavior to prevent touching of exhibit artifacts
  • Curb ‘running’ and playing by children to prevent accidents that could damage exhibit
  • Help direct patron traffic (if needed) through exhibit so that ‘crowding’ is minimized
